- The team concluded incidental spending must be allocated to jobs or moved above the line and agreed on issuing job-specific subcards, requiring photo receipts, and centralizing receipts to an inbox (Claude or manual filing); Chase supports subcards and cards will be assigned to project managers and canceled at project end.
- Grady will triage recent larger charges and code immediate months until controls are implemented.
- Other items and outstanding deliverables: Chris and Richmond are compiling Francis backup through May for MRK; a call with Pedro to update internal budgets for buyouts remains to be scheduled; a mock Ramsgate budget adjustment is in the same workstream; Aiello will coordinate the shared folder and portal automation; Andresen noted the need to clarify employer burden treatment for bids.
